This notice describes how the University of Michigan Motor Vehicle Records (MVR) System collects, uses, and shares personal information to support request submission, review, and compliance workflows. What Information We Collect

MVR collects information in the following ways:

  • Information you provide directly:
    • Account and profile details
    • Request submission data
    • Delegate and workflow inputs
  • Information generated through system use:
    • Authentication and session events
    • Request lifecycle history
    • Audit and diagnostic logs, including technical metadata required to operate and secure the system
  • Information from approved integrations:
    • Limited institutional directory and business data retrieved through approved integrations when needed to validate or process requests.

We Use Personal Information to

  • Authenticate users and manage access.
  • Process and track MVR requests and related documents
  • Send workflow-related notifications
  • Maintain system performance, troubleshoot issues, and detect misuse
  • Fulfill legal, regulatory, records-management, and institutional compliance obligations

How We Share Information

We do not sell or rent personal information.

We share information only as necessary for operational, security, or legal purposes, including with:

  • Authorized University personnel performing job responsibilities
  • Delegates and request participants based on defined roles and workflow policies
  • University-managed systems and approved integrations supporting request processing
  • Parties as required by law, policy, or to protect safety, property, or rights

Your Choices

You may:

  • Review and update your account and profile information within the system. Provision of this information is voluntary; however, failure to provide required MVR data may result in inability to obtain or maintain authorization to operate University vehicles.
  • Manage delegate assignments in accordance with system rules

Information Security

MVR uses layered safeguards designed to protect personal information, including:

  • Encryption of sensitive data at rest (e.g., driver’s license numbers)
  • Role-based access controls and authenticated access mechanisms
  • Session protections and anti-forgery measures
  • Security logging, monitoring, and incident response processes
